M2’s Bespoke Managed Print Solution Helps The JLT Group Reduce Print Costs Jardine Lloyd Thompson (JLT) Group is an international group of risk specialists and employee benefits consultants and one of the largest companies of its type in the world. Sector Insurance Situation In 2008, JLT Group assessed its print solution and identified that printing was costing the London office approximately £980,000 per annum. The Group sought a print solution with the main drive to reduce print expenditure, while also requiring a solution that would consolidate the number of devices, reduce suppliers and update its print technology. As part of a select tender process, M2 was chosen to provide a managed print solution that would reduce costs while providing one supplier able to service and support software and hardware through the benefits of independence. Survey As part of M2’s approach to all new projects, a survey of JLT Group’s current print situation occurred. This assessment helped to ensure all new devices would be most appropriate for the business unit. During this process, M2 formulated a plan that would help JLT Group reduce print costs and the number of devices, while providing new technology and innovation. Solution M2 provided a solution that included consolidated,new equipment, centralised support and expertise and a bespoke scanning solution. · Consolidation and introduction of a new fleet of MFDs and desktop Printers devices – Prior to M2’s involvement, JLT was operating approximately 470 devices across its London offices. As part of its drive to reduce costs and embrace technology, JLT wanted new equipment that would help facilitate an improved print solution. M2 was able to consolidate devices by 25 percent, while introducing a range of printers that were best suited for each business requirement. · Reduce Suppliers – M2 benefits from a vendor agnostic approach providing its customers’ the best hardware and software products most appropriate to its needs. JLT was able to benefit from using an independent managed print service by having a variety of devices from eight different vendors consolidated to standard devices controlled centrally. Furthermore, M2 is able to provide various software solutions that help to provide new and innovate ways for JLT to save money.

JLT was able to benefit from using an independent managed print service by having a variety of devices from eight different vendors consolidated to standard devices controlled centrally. Furthermore, M2 is able to provide various software solutions that help to provide new and innovate ways for JLT to save money. · Centralised Support – Having one supplier has also provided JLT with the benefits of improved centralised print support. M2 is able to handle all maintenance and support requests with two dedicated on-site engineers who provide break fix and preventative maintenance. · Bespoke Scanning Solution – Scanning documents into JLT’s document management system is mission critical for the business. However, before M2, electronic documents were not able to be incorporated into the system. M2 was able to provide a bespoke solution that involves barcode scanning to ensure all electronic documents can be incorporated into the management system. Furthermore, a scan-to-folder backup option provides the benefits of peace of mind that all documents are scanned and saved appropriately given the importance of this process to the business. Savings As a result of M2’s involvement to reduce print costs, JLT has saved approximately £300,000 per annum. Following a successful initial five-year contract, JLT has already renewed early for an additional five years. As part of this renewal, M2 will refresh older devices, upgrade the bespoke scanning solution and also introduce new technologies for JLT such as secure printing and mobile printing as well as innovation consultancy.
· Secure Printing – The financial industry is highly regulated by the FSA and JLT requires a solution to lock-down data. M2 will provide a secure printing solution ‘Follow Me Print’ to ensure secure printing of confidential and important documents. These documents could be printed by the user and collected at any MFD device. This ensures a document would only actually print when a user authenticates his or her identify at a device. · Mobile Printing – JLT will seek to enable its staff to print from handheld devices such as BlackBerry Smartphone and iPhones to give its users more print freedom. · Innovation Forum – As part of the renewal, M2 will provide JLT with free innovation days throughout each year to provide print consultancy. M2’s technical architects will be embedded within JLT to understand the business needs and make recommendations on creative and resourceful ways to save money.
